The meeting was called to order at 6:30 p.m. by President Joe Verderber. A quorum was confirmed. Records show that notice of meeting was e-mailed to all homeowners on May 16, 2011 with a reminder on June 12, 2011. Minutes of the June 28, 2010 annual meeting are on the GNHA web site. A motion to accept those minutes was made by Joe Hutchinson, seconded by Bill Feth, and was approved unanimously.
On behalf of Secretary Lynne Woodman, who was unable to attend the meeting because of a business conflict, Joe Verderber announced that since the last annual meeting, Dr. Neal Kaforey purchased the home at 3413 E. Glencoe previously owned by Joe Martha.
Also on Lynne’s behalf, Joe Verderber detailed the contents of the GNHA web site www.glencoehomeowners.com and explained what is each homeowner’s user name and password. Joe pointed out that the site also contains a link to the Richfield Township web site.
Treasurer Ray Jirousek reported that all homeowners were up to date on payments. The association has $30,451 in checking and short term money market accounts as liquidity and $123,567 in two twelve month CDs at Third Federal paying 0.9%. Ray reminded those present that the next quarterly dues payment is due by July 1, and that he would send e-mail notices soon. He thanked those who had made annual rather than quarterly payments.
President Joe Verderber began his report by passing out copies of a financial statement showing the budgeted and actual expenditures for 2009 and 2010, plus the budget and estimated figures for 2011. Joe pointed out that the snow removal expenses for 2010 were a record high due to the severe winter. The 2011 budget contains that same amount for snow removal. Joe pointed out that the 2011 year-end reserve for street re-paving will be larger than had been originally budgeted because the latest quote from Perrin Asphalt has risen to $60,000 from the $50,000 figure of 2009. Joe stated that he expects all our reserves to be appropriately funded at the end of 2011, as they are now. He also stated that the trustees do not expect any dues increase in the foreseeable future.
Joe explained that each year we require an audit of our financials. Since 2005 this has been done by volunteers from among the homeowners who are not trustees. Joe thanked Ricki Schwartz for her service as second-year auditor and Jan Hutchinson as junior auditor this year. Joe asked for a volunteer to serve with Jan Hutchinson as the auditing team in early 2012. Pam Fisher volunteered.
Committee reports
Arboriculture: Dean DiCarlo reported that he and Ron Dawson would be doing a walkaround of the neighborhood beginning at approximately 5:00 p.m. on Tuesday June 14, 2011 to look for situations where tree work is required, particularly to remedy situations where trees are interfering with roofs or gutters. Dawson will later present us with a proposal and quotation for the work to fix the problems. In response to a question from Dean, Joe Verderber agreed that the GNHA would pay Dawson to get rid of the dead/dying pine near the top of Glencoe hill when he is doing his other work in the neighborhood.
Re-Staining: Doug Mory reported that J&D Painters have completed power washing all five homes to be re-stained this year. He said that they would attempt to paint the door of each home at the same time they were re-staining it. Also, they will make a pro-active effort to catch up on the doors that have not been painted last year, and perhaps even one from the year before that. Doug said that he will work with homeowners to make certain that J&D gets the doors painted, since the doors have to remain open for some hours after being painted so that the oil-based paint used for them can dry properly.
Driveway re-sealing: Karen Feth reported that Perrin Asphalt appears to have done a proper and neat job on the driveways. (Comments from the floor confirmed that.) Karen reported that one part of the job remaining undone is the asphalt patch for the crumbling pavement spot on the downhill lane of Glencoe hill. She confirmed with Ray Jirousek that we have not yet been billed for the work. She will continue to follow up with Perrin until the work is satisfactorily completed.
Insect Control: In the absence of Lynne Woodman, Ray Jirousek confirmed that one insect spraying treatment was done this spring. The second of the two annual sprayings is expected in late summer or early fall.
Gutter Cleaning: Ray Jirousek stated that the spring round of gutter cleaning was under way, and that all except two homes have been done. As usual two other treatments will take place in the fall.
Landscape Maintenance: Joe Verderber reported that the Turfscape pruning crew is expected to be at work in the neighborhood this week, and that pruning should be more thorough this year. He had a walkthrough of the neighborhood with Turfscape account manager Bob Ramser and the supervisor of the pruning crew. For example, low dead branches will be removed from trees in a number of locations including by the developers real estate office and at the east and west cul-de-sac circles. Joe reported that the extra surface insect and grub prevention treatments purchased by GNHA will be applied during the week of June 20. It is expected that lawn aeration and overseeding will once again occur this year in late Summer or early Fall. Joe reported that Turfscape has warned us that Viburnum leaf beetles have migrated into Ohio and are doing severe damage to viburnum bushes in the area. Joe asked any homeowner with viburnums to contact him so that he could forward a copy of the e-mail with information.
Joe reported that, at his request, Turfscape repaired the snowplow damage to our turf by sodding rather than re-seeding this year. The sod looked great, while it was alive. Unfortunately, apparently many homeowners did not realize it had been done, and did not water in the sod when it was not raining. Joe asked homeowners to please rater in any of the sod that is within reach of their hoses and hope that we can salvage or resurrect at least some of it. Next year, Joe said he would send an e-mail with notifications about the sod repair and request that it be watered by those able to do so.
Snow Removal: George Gates reported that this past snow season cost us over $30,000. We had all of the 28 plows and shoveling allowed by our seasonal contract, plus 3 extra paid plowings and 8 extra paid shoveling. George suggested that homeowners consider applying a sealant to sidewalk pavers and sandstone steps and porches to minimize pitting or cracking due to the action of the calcium chloride or salt snow melters.
In the ensuing discussions of snow problems including icicles and ice dams, Dean DiCarlo mentioned that he had had a new sort of snow melter system installed on the eaves at the back of his house. It is the “Bylin” system, and was installed by the R B Thomas Electric Company. Because of interest expressed by many in the audience, Joe Verderber was asked to forward information about Bylin from Dean to all homeowners.
Election of seven trustees for two-year term
Joe Verderber reported that all seven current trustees were willing to run for a new term. He also reported that no other nominations had been received, and asked if there were any nominations from the floor. There were none, and the seven current trustees were reelected by acclaimation. They are Dean DiCarlo, Karen Feth, George Gates, Ray Jirousek, Doug Mory, Joe Verderber and Lynne Woodman.
There being no further old business, and no new business, the meeting was adjourned at 7:25 p.m.
